REFUNDS & CANCELLATIONS

This Refund & Cancellation Policy applies to all bookings, services, and payments made with KCX Studios Limited (“we”, “us”, “our”), whether booked online, in person, or via invoice.

By making a booking or payment, you confirm that you have read and accepted this policy.

1. Bookings & Payments

All studio bookings are confirmed only once payment has been received, either in full or as a deposit where applicable.

Payments may include:

  • Session fees

  • Deposits or retainers

  • Add-ons or additional services

All payments are processed through our business systems and are not received personally by individual staff members.

2. Deposits

Where a deposit is required:

  • Deposits are non-refundable

  • Deposits secure your booking time and resources

  • Deposits are deducted from the total session cost unless otherwise stated

Deposits will not be refunded in the event of cancellation, late arrival, or non-attendance.

3. Client Cancellations & Rescheduling

a) Standard Bookings

If you need to cancel or reschedule a session:

  • At least 48 hours’ notice is required

  • Requests must be made via email or WhatsApp during business hours

Cancellations or reschedules made with less than 48 hours’ notice may result in:

  • Loss of the session fee or deposit

  • No entitlement to refund

b) Late Arrivals

If you arrive late:

  • Your session will still end at the scheduled time

  • Lost time cannot be extended or refunded

Arrivals more than 30 minutes late may be treated as a no-show.

c) No-Shows

Failure to attend a booked session without notice will result in:

  • Full forfeiture of the session fee

  • No refund or credit

4. Retainers & Packages

For monthly retainers or pre-paid packages:

  • Payments are non-refundable once the billing period has started

  • Unused hours do not roll over unless explicitly agreed in writing

  • Pausing or cancelling a retainer requires advance notice as stated in the retainer agreement or invoice

Any exceptions are at our sole discretion.

5. Refunds

Refunds are not guaranteed and are considered only in exceptional circumstances.

Where a refund is approved:

  • It will be processed back to the original payment method

  • Processing times may take 7–14 working days (or longer, depending on the payment provider)

  • Booking or admin fees may be deducted

We do not provide refunds for:

  • Change of mind

  • Creative dissatisfaction

  • Failure to attend

  • Late arrival

  • Breach of studio rules

6. Illness, Emergencies & Force Majeure

We understand that unexpected situations can arise.

In cases of:

  • Serious illness

  • Emergencies

  • Events beyond reasonable control

We may, at our discretion, offer:

  • A reschedule

  • A partial credit

Supporting evidence may be requested. Refunds remain at our discretion.

7. Studio-Initiated Cancellations

If KCX Studios needs to cancel or reschedule a session due to:

  • Equipment failure

  • Staff unavailability

  • Safety concerns

  • Unforeseen circumstances

We will offer either:

  • A rescheduled session

  • A refund for the affected session only

We are not responsible for indirect losses such as travel costs, lost earnings, or third-party expenses.

8. Chargebacks & Payment Disputes

Unauthorised chargebacks or payment disputes may result in:

  • Suspension of services

  • Loss of future booking privileges

  • Recovery action where appropriate

Clients are encouraged to contact us directly to resolve any concerns before initiating a dispute.

9. Discretion Clause

All refunds, credits, and exceptions are granted at the sole discretion of KCX Studios.

Nothing in this policy affects your statutory rights under UK consumer law.
